This policy applies to parents, guardians, children whose details are provided by a parent or guardian, volunteers, staff, and other users of this app and related services, including WhatsApp communication, email communication, online registration, pre-registration, check-in, check-out, and reporting features.
What Information We Collect
Depending on how the app is used, we may collect and process:
- Parent or guardian names, cellphone numbers, WhatsApp numbers, and email addresses.
- Child information such as name, date of birth, gender, allergies, support needs, and class placement.
- Church-related information such as service time, visitor or member status, suburb, and pastoral contact preferences.
- Check-in, check-out, tag, QR, and attendance records created for child safety and administration.
- Account and authentication details used to sign in, including name, email address, and user role.
- Communication records and message metadata when email or WhatsApp features are used.
- Technical and device-side data needed for offline support, security, troubleshooting, and service reliability.
How We Use Personal Information
- To register families and children for church services and activities.
- To manage safe child check-in and check-out procedures.
- To send reminders, pre-registration codes, service updates, and operational notices.
- To support pastoral care, volunteer coordination, attendance reporting, and church administration.
- To secure the app, investigate misuse, and maintain accurate records.
- To comply with applicable legal and regulatory obligations.
Children's Information
Children do not create accounts directly in this app. Personal information about a child is provided by a parent, guardian, or other authorised adult for check-in, safety, and church administration purposes. By using the app for a child, you confirm that you are authorised to provide that information.
WhatsApp, Email, and Third-Party Services
When messaging features are enabled, we may use third-party service providers to deliver communications, host data, authenticate users, and support the app. These may include identity providers, cloud data infrastructure, hosting providers, email providers, and WhatsApp or Meta services.
We only share personal information with service providers where this is reasonably necessary to operate the service, subject to appropriate safeguards, contracts, and applicable law.
Retention
We keep personal information only for as long as reasonably necessary for child safety, church administration, record-keeping, support, auditing, legal compliance, and dispute resolution. When information is no longer required, we will delete, destroy, or de-identify it as reasonably practicable, subject to lawful retention obligations.
Your Rights
Subject to applicable law, including the Protection of Personal Information Act, 2013, you may request access to, correction of, or deletion of your personal information, object to certain processing, or withdraw consent where consent is the basis for processing.
